Responsibilities and Duties of the Ludgate Hub Manager
Job Title: Ludgate Hub Manager
Reporting to: Chief Executive Officer
Core Responsibilities: You will be responsible for the day-to-day efficient and effective running of the Ludgate Hub, improving our procedures and day-to-day operations, as well as working with the CEO, our team and Hub clients on a range of strategic projects.
Main Tasks and Responsibilities
Ensuring the Hub space and services function optimally;
Being a main point of contact for Hub members and Users.
Designing, maintaining and managing office systems, as well as any necessary standards and procedures;
Support CEO and team in preparing for monthly and quarterly board meetings;
Manage the Hub’s financial system (SAGE) and liaise with accountant to ensure that accurate and timely monthly and annual accounts are provided;
Manage all office supplies and contracts, ensuring supplies are adequate, appropriate and up-to-date, obtaining value for money in the process;
Create and maintain an office environment and layout that is pleasant, safe and keeping with best practice on staff health, safety and welfare;
Management of any front-of-house/support staff;
Undertake troubleshooting as necessary.
Working with our key stakeholders, both internal (Hub members) and external (schools, local businesses, local community, sponsors etc) to ensure that the work of the Hub is understood and communicated;
Working with the CEO and team to put in place a series of events over the course of the year to ensure ongoing and effective engagement with the Hub’s stakeholders;
Responsibility for the Hub’s social media channels (Twitter, LinkedIn, Facebook and others), with support from the CEO and other team members as necessary, creating a fresh supply of interesting news from the Hub and about our community;
Updating and maintenance of the Hub’s website as necessary.
Oversee all technical aspects of the Hub, to include working with suppliers to identify and resolve issues;
Provide technical support to Hub members and staff;
Ensure all internal IT systems are in working order (wifi, ethernet connections, screens, video conferencing, security, fob access, fire alarms etc);
Have a knowledge or willingness to learn how to troubleshoot IT issues on site (eg. server connection issues, firewall navigation etc).
Supporting the CEO and team on strategic projects, undertaking any research that may be necessary.
As our business is customer driven, you will be required to be flexible in this position and must be prepared to undertake such other work as may be assigned to you by the Company from time to time. Such work can be outside the area of your normal duties and it may be for such subsidiary companies as the Company may require. Some out-of-hours work is also required but you will be given as much notice of this as is possible. Any such changes will be discussed and agreed prior to implementation.
